Interpretation
Words with capitalized first letters have meanings defined under the following conditions. These definitions apply whether they appear in singular or plural form.
Definitions
For the purposes of these Terms and Conditions:
- Company (referred to as “we,” “us,” or “our”) refers to Pathway Professional Counseling, a counseling practice providing mental health services.
- Client (referred to as “you” or “your”) means the individual receiving or seeking counseling or therapeutic services.
- Service refers to any counseling, therapy, or mental health service provided by the Company.
- Agreement refers to these Terms and Conditions, as well as any intake forms, disclosures, or agreements signed prior to or during the course of care.
- Session refers to any scheduled counseling or therapy appointment.
Acknowledgment
These Terms govern your use of our counseling services. By scheduling a session, completing an intake form, or attending therapy, you agree to these Terms. If you do not agree, please refrain from engaging with our services.
Appointments and Scheduling
- Appointments are typically scheduled in advance and are subject to availability.
- We require 24 hours notice to cancel or reschedule a session. Missed sessions or late cancellations may result in a late cancellation fee.
- We strive to begin sessions promptly. If you are late, your session may still end at the scheduled time.
Fees and Payment
- Session fees will be communicated during intake and are due at the time of service unless otherwise arranged.
- We accept payment by credit/debit card, HSA/FSA, or other approved methods.
- If using insurance, you are responsible for understanding your benefits and any out-of-pocket costs.
- Outstanding balances may result in paused services until payment is resolved.
Confidentiality and Privacy
- Your personal information and session content are protected under HIPAA and applicable privacy laws.
- Exceptions to confidentiality include risk of harm to self or others, suspected abuse or neglect, or legal court orders.
- We may consult with other professionals (e.g., supervisors or colleagues) for quality care, without disclosing identifying details unless permitted.
Communication
- Email and text communication may be used for scheduling but are not secure methods for discussing sensitive clinical content.
- Phone calls and secure client portals (if available) are preferred for confidential communications.
- Therapists do not provide emergency services. In case of crisis, contact 911 or visit your nearest emergency room.
Scope of Services
- Counseling services are not a substitute for medical treatment, psychiatric care, or legal advice.
- You agree to participate voluntarily and understand that outcomes vary by individual.
- If your needs fall outside the scope of our expertise, we may recommend referral to another provider.
Client Responsibilities
- Arrive on time and participate honestly and respectfully.
- Notify your counselor of changes in contact info, health status, or medication.
- Refrain from attending sessions under the influence of substances that impair communication.
Right to Refuse or Terminate Services
We reserve the right to pause or terminate services in the event of:
- Non-payment or repeated missed sessions.
- Disruptive, disrespectful, or unsafe behavior.
- Conflicts of interest or ethical concerns.
You may also end services at any time. We encourage discussing termination with your counselor to ensure appropriate closure or referral.
Technology and Telehealth
- Online therapy may be conducted via secure video platforms.
- You are responsible for ensuring a private, stable internet connection for sessions.
- Telehealth may not be appropriate for all concerns or situations; in-person referrals may be recommended.
Changes to These Terms
We may update these Terms periodically. The most current version will be posted on our website and available upon reques
